Position Description

GBI has always maintained that our employees are our greatest asset, and we are now seeking to add to our team. We are looking for a Fleet and Field Service Admin/Office Manager to join our team in Maple Valley, WA located at our Ravensdale, WA Shop.
Position Summary
The Fleet and Field Services Administrator/Office manager maintains service records, creates work orders for repairs, approves invoices, manages timecard approvals, and ensures clear communication between equipment manager and project teams to support efficient shop operations.
Position Description

- Demonstrate a full understanding of company expectations by thoroughly reading and adhering to the Goodfellow Bros. Employee Handbook.
- Process third-party invoices, including accurate coding, repair verification, and maintenance documentation for fleet vehicles and equipment.
- Process internal shop invoices, ensuring proper coding, purchase order verification, and routing for approval.
- Generate equipment and vehicle repair orders, as well as preventative maintenance work orders, for mechanics and oilers.
- Review and submit mechanic timecards daily; follow up on any incomplete or missing submissions.
- Maintain and update master lists for trucks and equipment.
- Track Accident Damage costs and prepare documentation for review with the Safety and Claims Departments.
- Receive, organize, and distribute vehicle registrations and all related DMV paperwork for fleet vehicles and equipment.
- Coordinate annual inspections of shop and yard facilities with the Fire Department and Department of Ecology.
- Provide organizational, tracking, and process support to both Shop and Field teams.
- Manage DOT paperwork and ensure ongoing compliance with regulatory requirements.
- Set up Samsara Gateways for new projects and service locations.
- Configure Samsara Vehicle Telematics for fleet assets.
- Schedule bulk fuel and DEF deliveries.
- Perform daily data entry to support fleet and maintenance records.
- Manage equipment repairs and maintenance using CLUE and Equipment360 systems.
- Perform additional duties as needed to support the department and company operations.

This position offers a pay range of $31 to $41 annually.

Essential Functions
Position Requirements
Required Education, Experience, and Technical Knowledge
- Candidates must have the legal right to work in the US without employer sponsorship.
Education:
- High School Graduate or equivalent
Experience:
- Experience in the customer service field is preferred
- Experience as an operations coordinator or similar role
- Construction industry and vocabulary knowledge of heavy equipment is preferred.
- Organizational skills are required.
- Teamwork is required.
- Ability and willingness to learn new tasks.
Computer Skills:
- Experience with Word and Excel required.
- Experience with Vista by Viewpoint is preferred.
- Experience with HCSS Dispatcher, HCSS Heavy Job, HCSS E360 and CLUE preferred.
- Computer experience with various computer software programs is required.
- Basic bar chart scheduling knowledge is preferred.
Other Skills:
- Able to communicate effectively with employees and project teams
- Must be highly organized, able to handle multiple tasks, and meet varying deadlines
- Able to prioritize tasks and work independently
