Description

The Benefits Administrator is responsible for the administrations of the all the Health benefits of the company.  This position is responsible for the administration, filing and compliance for all the benefits including being the primary point of contact for all benefits inquiries and questions. 

RESPONSIBILITIES:

  • Responsible for full day-to-day administration of the company’s benefit programs – medical, dental, vision, FSA, HRA, and Cobra to include life events and open enrollment
  • Acts as primary contact for all insurance vendors associated with the plans and troubleshoot administrative issues with carriers
  • Prepare, audit, calculate and submit for monthly insurance carrier invoices to be paid
  • Responsible for compliance of part-time eligibility and offering of benefits under ACA.
  • Responsible for reviewing and ensuring annual ACA 1095 Forms are filed with IRS and distributed to employees
  • Responsible for annual open enrollment for all group plans and ensure retirees and cobra participants receive their open enrollment information in a timely manner
  • Reconcile open enrollment required forms and completion of wellness incentive reward and surcharges
  • Responsible for the HRIS system pertaining to all features, enrollments, updates and open enrollment features and set up within the system
  • Responsible for the coordination of setting up and ongoing management of vendor file feeds
  • Audit invoices for accuracy on enrollment, calculates monthly insurance premiums for all group policies and processes invoices for payments
  • Responsible for ensuring Cobra administration is being complied with through the Cobra Administrator to include notifying of separations, qualifying events and annual open enrollment
  • Review and audit HRA activity and make related general ledger entries
  • Effectively collaborate with other benefit staff to ensure assigned areas are completed timely and within compliance and serve as back up to other benefits staff as business needs arise 
  • Responsible for tracking and ensuring all temporary employees receive benefits, communicate with employee, manager and payroll as the temporary becomes eligible
  • Prepare/mail annual required Medicare Certificate of Creditable Coverage notices to retirees and Medicare eligible participants; submit required disclosure information to Medicare
  • Responsible for annual FSA compliance testing and communication to employees
  • Responsible to ensure all the annual filings for the insurance plans by providing consultant Schedule A data and other information needed for the 5500 filings and ensure all required mailings are sent out to employees in a timely manner
  • Ensuring required ERISA benefit communication is sent out timely to all participants
  • Assist in internal benefit related audits bi-weekly (iSolved entries), quarterly and annual 
  • Back up to conducting new hire onboarding and benefits webinar bi-weekly
  • Assist with merger, conversions as they apply
  • Cross train and provide back up support to HR Administrator - Welfare
  • Responsible for ad-hoc reports for vendors and management


Requirements

Qualifications:

  • High School diploma or equivalent required
  • Bachelor’s degree a plus
  • Minimum of two (2) years of related Human Resources experience required, preferably in benefits 
  • Proficiency in Microsoft Office products required
  • Working knowledge of all pertinent federal and state regulations, filing and compliance requirement affecting benefit programs is required (ERISA, COBRA, Section 125)
  • Ability to demonstrate confidentiality, professionalism and maturity required
  • Strong verbal and written communication skills required
  • Ability to multi-task and work in a fast-paced environment required
  • Ability to meet deadlines and work independently required
  • Ability to communicate and work with staff at all levels within the organization required
  • Excellent customer service skills are essential
