Second Unitarian Church (2U), a progressive, inclusive, and engaged congregation in Chicago, IL, is seeking a full time/part time, exempt church administrator. Our Unitarian Universalist congregation is explicitly (if imperfectly) anti-racist/anti-oppressive, LGBTQ+ affirming, multigenerational, multicultural, and theologically diverse faith community.
Position Summary: The Church Administrator plays an essential role in the efficient and effective operation of Second Unitarian Church. This position combines administrative, financial, and organizational responsibilities to support the ministry, programs, and services of the church. It requires ability to work independently, attention to detail and a strong service orientation. The Church Administrator works closely with all members of the church community, including minister, staff, volunteers and congregants to ensure smooth functioning of all church activities.
Responsibilities:
Administrative management:
- Manages the church office, including responding to phone call, emails and visitors
- Coordinates scheduling of meetings, events and use of church facilities
- Maintains organized filing system for documents and records
- Manages church calendars, schedules, security, and access
- Maintains inventory of building and office supplies
Financial management:
- Contributes to the oversight and management of the church’s financial operations, including accurate record keeping
- Prepares and maintains financial records and assists with payroll, accounts payable and accounts receivable, tracking expenses and revenues
- Assists with financial management, oversight and compliance, coordinating with accountant, treasurer and finance committee to ensure timely and accurate financial statements
- Supports yearly pledge drive and other fundraising efforts
Communications and outreach:
- Creates and distributes church publications, including orders of service (weekly), newsletters (biweekly) and other information, including presentations for worship services and special events
- Maintains the church website
- Prepares giving statements to congregants and responds to inquiries
- Supports regular communications with and outreach to members of the church community
Staff and volunteer support
- Provides administrative support for minister, director of music, director of religious education, tech team, Board and others as needed
- Provides administrative support for committees and volunteers as needed
Facilities management
- Works with custodial staff and facilities committee to oversee maintenance, cleanliness and accessibility of church facilities
- Helps coordinate repairs and capital improvements
Event and rental support
- Assists with the development of a rental plan and marketing of the facility to renters during non-church use times. Coordinates and secures building rentals
- Assists in planning and implementation of special events and church activities
- Manages facilities scheduling
Requirements
Qualifications:
- A bachelor’s degree is preferred
- Previous experience in church or other administration management (3-5 yrs)
- Strong proficiency in office automation and financial software (MS Office Suite, QuickBooks, WordPress. Knowledge of database management [such as Breeze] and graphic design software is a plus)
- Excellent and demonstrated communications (oral and written) skills. Ability to deal effectively and tactfully with a wide variety of individuals – in person, over the phone and in writing
- Strong organizational and time management skills, accuracy and attention to detail
- Versatility, flexibility and a willingness to adapt and learn
- Ability to work independently and proactively
- Ability to maintain confidentiality and handle sensitive information
- Superior problem-solving skills
- Quick learner and interested in working in all aspects of church operations
- Training, professional development and/or experience related to the varied functions of the Church administrator
- Commitment to the mission and values of Second Unitarian Church and a personal alignment with Unitarian Universalist principles and values
