Description
Business Support Management team is tasked with a variety of business administration and control responsibilities and provides general support of day-to-day business functions.Job Description
The role provides an outstanding opportunity for individuals with a finance or operations background to further develop their experience. It is responsible for supporting Business Support Management functions across businesses within CIB. Comprehensive training will be provided on Business Support Management responsibilities, infrastructure, and policies. As the operations hub is built out, a flexible and adaptable approach to the role will be required on an ongoing basis.
Roles and Responsibilities:
- Effectively manage Invoice submissions by navigating across various systems (e.g., Concur, Ariba, GSP, smartApproval).
- Ensure timely and accurate recording, categorization, and submission of corporate card expenses through the firm's expense management infrastructure (Concur).
- Ensure all invoicing and T&E processes are completed in accordance with established Service Level Agreement.
- Identifying and highlighting unusual, questionable transactions via the right channels to strengthen the control framework and ensure policy compliance.
- Review the SOP periodically and recommend necessary changes as and when needed in consultation with relevant stake holders.
- Demonstrate a strong sense of client service and responsiveness, showing urgency when immediate follow-up or escalation is required.
- Collaborate with senior leads, Accounts Payable, business stakeholders, and global counterparts to support and optimize Invoicing and T&E processes, share best practices, identify synergies, and drive global initiatives.
- Participate in projects and initiatives as needed, contributing to the overall success of the business.
- Continuously evaluate and suggest process improvement ideas, with a strong focus on leveraging automation technologies, to optimize efficiency and effectiveness across the organization.
- Act as a subject matter expert and provide guidance and mentorship to the team, fostering an environment of continuous learning and professional growth.
Required qualifications, capabilities, and skills:
- Bachelor's degree (or equivalent experience)
- Highly effective in communicating with colleagues at all levels across the organization
- Detail oriented with strong organizational skills; ability to manage multiple tasks simultaneously and prioritize work efforts.
- Strong attention to detail and commitment to data accuracy.
- A self-starter who consistently strives for excellence
- Work independently whilst also operating effectively in a team-based environment
- Technical Proficiency across MS Office with excel / data management
- Minimum 1 / 2 years working experience
