Job Description
Are you a higher ed professional looking to utilize and contribute your program management skills to a high-energy, innovative environment? Are you looking to be highly engaged in the day-to-day processes that support the MBA Program?
If so, consider the Coordinator role, where you will be a member of the MBA Registrar's Office team working collaboratively to support the overall Curricular Programs while maintaining a specific focus on the Elective Curriculum (EC) program.
What You'll Do:
- Build trust and collaboration by being present on-site and engaging directly with colleagues and various constituents.
EC Academic Infrastructure and Grades:
- Oversee ongoing updates to the Student Information System database (SIS) to ensure each of thousands of class sessions in a term are accurate in date, start time, end time and location details.
- Liaise with Operations on classroom spaces for EC use.
- Oversee capacity limits of EC course sections through course selection and cross registration processes, including work with HBS Doctoral Program and MBA Tech Fellows.
- Manage Independent Projects (IP) posting site; respond to companies, organizations, alums and faculty who submit project ideas, publish for students and archive at term close.
- Oversee use of online registration tool for Independent Projects (IP) and field questions from students and potential supervisors.
- Data analysis and reporting on EC courses to support faculty and MBA program leadership.
- Work with faculty and Faculty Support Specialists (FSS) on timely grade submission in deadline driven process; design communication plan, reminders, and check ins; monitor through to completion.
- Collaborate with Associate Director in any case of grade changes and other support for the Academic Performance Committee (APC).
Exams:
- Set overall schedule for full array of EC courses in multiple sections.
- Create and monitor exam tool sites and work closely with faculty and FSS on exams from planning through execution.
- Execute accommodations in exams, work with Support Services for each EC student with documented accommodations.
- Extra hours may be required during exams.
EC Preregistration and Add/Drop Process:
- Support the EC Preregistration and Add/Drop process to include serving as a resident expert on the registration system, EC Toolkit, and the resources included there for students.
- Support the management of the Add/Drop process including advising students on Add/Drop.
- Assist in creating a staffing and training plan for volunteers who help during the Add/Drop period.
- Provide mentorship to volunteers from the MBA program who meet with students to help them understand how to optimize Add/Drop.
- Extra hours may be required during Add/Drop.
Customer Service for EC Students:
- Update ShareSites with EC-related information for students.
- Staff the etoolkit and independent project inboxes throughout the year and escalate issues as needed.
- Respond to a high volume of student email questions and requests in a timely manner with judgement and sensitivity.
- Deliver Add/Drop customer service to students in high profile, intense process at term start.
- Monitor student progress toward graduation requirements.
Other Duties for MBA Registrar's Office:
- Supports all-hands-on-deck events such as Term Start-up and Graduation.
- Participates in departmental goal-setting processes and implementation of priorities.
- Develops relationships with FSS and Division of Faculty Research and Development (DRFD) team.
- Serve as primary resource for FSS around EC. Develops ongoing documentation.
- This role is responsible for additional duties as assigned.
Qualifications
Basic Qualifications:
- High School Diploma, GED, or equivalent is required.
- 5+ years of experience in administrative support role(s) is required.
- Education beyond high school may count toward experience.
- Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects allstaff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
