About the Position
The Finance and Accounting Clerk is responsible for accurately maintaining and evaluating invoices ensuring timely payment, tracking organizational transactions, depositing cash receipts, managing vendor records, and supporting a variety of accounting projects and processes with efficiency and attention to detail.
Essential Duties and Responsibilities
Accounts Payable, Accounts Receivable, and Cash Receipts
Ensure accurate, timely, and efficient AP/AR and cash-receipt processes.
Monitor workflows and recommend process improvements as needed.
Code, file, and enter invoices, ensuring they are paid on time.
Proactively prepare and issue AR invoices and manage payments.
Deposit cash receipts.
Expense Reports and Invoicing
Review employee expense reports, corporate credit card statements, and invoices with accuracy and efficiency.
Ensure all submissions are processed promptly and in accordance with policy.
Vendor Management
Proactively review, update, and maintain complete and accurate vendor records.
Manage required documentation, including banking details and W-9 forms.
General Accounting Support
Assist the accounting team to ensure timely and accurate financial statements for the foundation and its fund holders.
Monitor cash balances and update cash schedules.
Upload cleared checks from the bank into the finance database.
Prepare, enter, and file select monthly journal entries.
Assist with preparation for the annual audit
Maintain document-retention processes for the accounting department and coordinate the annual transfer to offsite storage.
Maintain certificates of insurance.
Customer Service
Provide exceptional service to employees, vendors, donors, and nonprofit partners.
Deliver timely and accurate information to internal and external stakeholders, including audit confirmation requests and vendor onboarding/offboarding support.
Model organizational values and contribute positively to workplace culture.
Maintain Asana shared tasks in collaboration with other departments.
Knowledge, Skills, and Abilities

Highly organized with attention to detail and timeliness.
Self-reliant, results-oriented, and strong interpersonal skills with the ability to engage, collaborate, and develop consensus with peers.

Education, Experience, and Certificates
High School diploma or Graduate Equivalency degree.
Minimum of 2 years of experience required.
