Reporting to the Director of Research Security, the Regulatory & Research Office Assistant (OA) provides administrative support to the University at Albany's (UAlbany) Office of Regulatory and Research Compliance. The Office of Regulatory and Research Compliance (ORRC) provides support to faculty, staff and students so that our research is carried out in compliance with all Federal, State and University policies.
The OA serves as receptionist for the offices, greeting visitors and answering phone/email and provides administrative support for Research Protections and Research Security ensuring efficient operation, smooth workflow, and coordination of office operations.
The ideal candidate will be highly organized, detail-oriented, and possess excellent communication and multitasking skills. The OA will maintain office supplies to ensure that the office is well organized, fully supplied and presentable.
Essential Functions
- They will schedule and coordinate appointments, meetings and events for the office including arranging logistics, sending out invitations, and preparing materials as well as onboarding any new staff, and coordinating travel for staff.
- Interact with university faculty, staff, students, and potentially external stakeholders.
- The OA will also prepare documents, review financials and budgets, process invoices, and maintaining office records to ensure confidentiality, integrity and availability.
The incumbent must have demonstrated verbal and written communication skills, as well as diplomacy, discretion, and professionalism; excellent organizational skills and ability to set appropriate priorities between multiple concurrent tasks. The Office Assistant must be flexible and able to work independently as well as collegially within team-oriented environment. Perform other duties as required supporting ORRC in accomplishing its mission.
This is an in-person position.
Job Requirements:
Minimum Requirements:
- Associate's degree required from an accredited college or University from an organization recognized by the US Department of Education or an internationally recognized accrediting organization. Two (2) years of professional experience may substitute for an Associate's degree.
- Must be a problem-solver, well-organized, efficient, and capable of prioritizing multiple tasks and requests simultaneously.
- The successful candidate will be self-directed, have proven ability to prioritize duties and meet multiple deadlines in a fast-paced environment; has proven ability to work independently and in an interrelated team environment.
- Experience in a team based setting and interacting with constituencies at all levels (faculty, staff, students, etc.)
- Experience providing individuals with superior administrative support to facilitate efficient, effective office processes.
- Experience with multiple modes of communication (interpersonal, written, and oral) and providing customer service.
- Experience utilizing contemporary technologies and software including, but not limited to word processing and spreadsheets, to complete office work.
- Must have the ability and experience to work with a culturally diverse population.
- Applicants must demonstrate an ability to support diversity, equity, access, inclusion, and belonging, relative to their role.
Preferred Requirements:
- Two (2) or more years of professional experience in office administration.
- Bachelor's Degree from an accredited institution of higher education.
- General knowledge of ethics and compliance concepts, such as standards of conduct, business ethics, best practices, hotline management, and managing non-compliance.
- One or more years of experience in any of the following:
- Experience working in a research-intensive institution of higher education or non-profit.
- Experience in internal controls office; or
- Experience working in a law office.
Additional Information:
Salary Range: $45,000 - $55,000 (DOE)
