Position Summary
The Operations Coordinator manages registration processes and office operations for Life Adventure Center. This role supports program logistics, internal communications, customer service, and administrative systems through platforms like Ultracamp, Bloomerang, and Microsoft Office Suite.
Key Responsibilities
1. Registration & Program Support (40%)
Manage all registrations, bookings, and customer communication via Ultracamp.
Coordinate with the Program Director on group outreach and scheduling.
Maintain accurate data on enrollment, billing, accounts receivable, and contracts.
Oversee Extreme Adventure Challenge registration and site updates.
Support financial operations (e.g. data entry, invoicing) in collaboration with the Financial Controller.
Maintain the master calendar of program activity.
Train staff on LAC registration systems and administrative tools.
Handle waivers and assist with camper sign-in/check-out as needed.
2. Office Administration (20%)
Oversee mail operations, phones, inventory, and general office organization.
Order supplies for events, recognition, and seasonal needs.
Maintain digital and physical filing systems, records, and equipment use.
Ensure a clean, welcoming office environment.
3. Communications & Marketing (20%)
Coordinate family communications during camp via Remind.
Design materials in Canva and support email campaigns through Constant Contact.
Help manage LAC’s website updates and collaborate with the Philanthropy & Engagement team.
Represent LAC at local events and coordinate with local chambers and tourism outlets.
4. Kitchen Logistics (20%)
Collaborate with summer kitchen staff on inventory and meal service.
Assist with ordering, food stock audits, prep, and food handler compliance.
Qualifications
Associate’s or Bachelor’s degree in business or related field.
3+ years of office, nonprofit, or camp experience (including customer service and data entry).
Proficiency in Microsoft Office, CRM tools, and digital communications platforms.
Strong organizational and interpersonal skills.
Must be able to lift 25 lbs, operate standard office equipment, and sit/stand for extended periods.
Valid driver’s license and insurance required.
Expectations
Standard schedule: Monday–Friday, 8:00 AM – 4:30 PM, with some evenings/weekends.

Requirements
