Overview
The North Texas Commission (NTC), a regional, non-partisan, nonprofit organization, is seeking a highly organized and detail-oriented Program and Operations Coordinator to support the day-to-day execution of programs, events, and internal operations. This role is central to ensuring smooth coordination across leadership scheduling, CRM management, membership administration, and program logistics.
The ideal candidate is proactive, service-oriented, and comfortable managing multiple priorities while working closely with senior leadership, members, and external partners.
Key Responsibilities
Program & Operations Support
Provide administrative and operational support to the leadership team, including coordination of internal processes, planning efforts, and goal tracking.
Assist with internal communications and coordination across departments and initiatives.
Support special projects and program execution as assigned.
Scheduling & Calendar Management
Manage scheduling and calendars for the leadership team, including meetings with members, partners, and stakeholders.
Coordinate logistics for internal meetings, board activities, and leadership engagements.
Assist with planning and execution of office meetings, briefings, and events.
CRM & Membership Administration
Serve as the primary manager of NTC’s CRM, ensuring accurate and timely data entry, maintenance, and reporting.
Manage member onboarding, including tracking engagement, participation, and key touchpoints.
Track and reconcile membership dues, sponsorship commitments, and event registrations.
Maintain accurate attendance records for programs, meetings, and events.
Sponsorships, Dues & Attendance Tracking
Coordinate invoicing and tracking for membership dues and sponsorships in collaboration with internal teams.
Monitor event attendance and participation metrics to support reporting and outreach efforts.
Support development and engagement efforts by preparing lists, reports, and follow-up materials for member and prospect meetings.
Events & External Engagement
Provide logistical and on-site support for NTC programs and events.
Manage guest lists, registrations, and communications for partner and member events.
Assist with preparation of materials and coordination with vendors or venues as needed.
Requirements
Qualifications
Minimum of 3 years of professional experience in a corporate, government, nonprofit, or association environment.
Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
High attention to detail with a proactive, problem-solving mindset.
Comfortable interacting with senior leaders, elected officials, executives, and external stakeholders.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with CRM systems strongly preferred.
