Independent Community Coordinator (Contract Position)
Arbor Lake Townhome Association
Wilsonville, Oregon, Remote with periodic onsite visits
Compensation: $3,849.00/month
The selected party will operate as an independent entity (1099 contractor) and will be responsible for all their own expenses, insurance, and tax obligations (e.g., self-employment taxes, income tax withholding). Expenses for general ALTA business will be reimbursed.
The contractor will determine their own work methods and schedule, provided all project milestones, deliverables, and deadlines are met
Requirements
Position Summary
Coordinates with the Board and Committees to maintain the general maintenance of the property, including monthly inspections, upkeep of common area, contracted work, general repairs, homeowner compliance, and homeowner change requests
Assists the Board and Committees with invoicing, income projection, maintenance charges, repair charges, reserves, capital improvement bids, and annual budget
Tracks and documents all homeowner contact, property maintenance, and homeowner change requests, uses shared document portal to store information
Assists in support of emergency situations affecting the property, updates emergency information
Performs and documents regular property inspections, oversees maintenance, improvements, and general repairs of the property in alignment with Board committees
Assists and serves as an agent for the Board when negotiating contracts and procuring services
Provides general administrative support for the Board, including providing support for the Board Secretary by attending monthly meetings, taking meeting minutes, preparing agendas, notes, and Board Packets
Maintains homeowner records and documentation, Handbook updates, bylaws, and CC&Rs
Prepare for quorums, administer voting at Annual Meeting, sends ballots
Respond to homeowner phone calls, emails, and emergencies
Assists with homeowner communication including website updates and newsletter development
Act as a liaison between homeowners and the Board, facilitating communication, resolves disputes between homeowners, provides support and guidance as needed
And other agreed upon activities as assigned by the Board not listed above
Qualifications
High School Diploma, GED, Associate/Bachelor Degree preferred
Experience working with property management, working with an HOA, construction, or customer service
Produces high quality deliverables and able to handle multiple tasks at one time, organized
Ability to effectively resolve conflicts and find creative solutions
Communicates effectively both verbally and in writing
Excellent interpersonal and communication skills
Communicates and responds promptly
Proficient with computers, including Microsoft and Google platforms, spreadsheets, and databases
Understanding of financial principles and general accounting
