Overview
This position is responsible for supporting the daily operations of the Site Visitor Lobby and providing assistance to all functional areas as needed, including Human Resources, Operations, Sales, Finance, Quality, EHS&S, and Legal.
Work Schedule: Standard shift hours are from 7:00 AM to 3:30 PM, which includes a 30-minute meal break. Please note that shift hours may be adjusted based on business needs.
Responsibilities
Visitor & Front Desk Management
- First point of contact to professionally greet, direct, and assist all site visitors.
- Answer incoming calls and manage front desk operations.
- Monitor lobby activity and maintain access control.
- Ensure guests are registered and meet ITAR and safety requirements.
Temporary Workforce Coordination
- Collaborate with supervisors and staffing agencies on onboarding and offboarding of temporary employees.
- Assign temporary work ID numbers and issue badges.
- Report pay-related issues and support the release process for temporary personnel as needed.
Onboarding & Training Support
- Partner with business stakeholders to coordinate weekly and ad hoc onboarding sessions.
- Prepare new hire packages, including binders, welcome goody bags, and name plates.
Interview, Meeting & Travel Coordination
- Assist business leaders with scheduling interviews, meetings, and travel arrangements.
- Support site events (meeting scheduling, ordering food, supplies, etc.).
Employee Badge Management
- Issue and replace employee badges as needed.
Employee Engagement & Communication
- Champion the site's Engagement Council to promote employee relations.
- Support HR in posting flyers and legal notices throughout the facility.
- Assist with preparation of site-wide communications and presentations (PowerPoint, Excel, etc.).
Administrative & Clerical Support
- Perform general clerical tasks including faxing, photocopying, filing, and record maintenance.
- Sort and distribute inbound/outbound mail; coordinate with Shipping for timely delivery.
- Order business cards and manage office inventory (stationery and supplies).
- Submit and follow up on Facilities requests; host Facilities vendors when the team is unavailable.
Other Duties
- Perform additional administrative tasks as assigned.
- Partner with EHS and compliance to proactively address improvements to safety culture.
Qualifications

- High school diploma or equivalent required.
- Minimum of 1 year of experience in administrative support or a similar role. Internal candidates may be considered based on manager recommendation.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); strong overall PC skills.
- Ability to communicate effectively with employees and visitors at all levels of the organization, while maintaining confidentiality.
- Excellent organizational and time management skills; able to multitask and meet daily or project deadlines.
- Comfortable with frequent and intermittent phone communication.
- Bilingual in Spanish is a plus.
- Strong customer service orientation.
- Familiarity with company policies, procedures, and practices.
- Professional demeanor with courteous and respectful communication.
Physical demands: The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. While performing the duties of this job, the associate is frequently required to stand, walk, and sit. Use hands, fingers, to handle or feel; reach with hand and arms; talk and hear. The associate must occasionally lift/and move up to 30 pounds.
