About GVRC
The Great Valley Resilience Collaborative (GVRC) is a newly formed California nonprofit working to advance an ambitious set of linked water, habitat, and tribal renewal projects in the Central Valley. We are a small, fast-moving startup team that operates as the backbone of a broad coalition of unlikely allies, including farmers, tribes, water agencies, conservation groups, and public officials. Much of our work is sensitive, relationship-driven, and high-stakes, and our independence and credibility are central to our success.
The Role
We are looking for a seasoned Executive Assistant to support our Executive Director and keep a lean organization running smoothly during a pivotal launch period. This is a part-time contract role of roughly 10 hours per week. You will be the person who keeps schedules, documents, and tasks organized so that our small team can stay focused on building the coalition and moving the work forward.
The work is remote, with a preference for candidates in the San Francisco Bay Area for occasional in-person work. We expect a fair amount of in-person time in the first couple of months as we get to know one another and establish good working rhythms. Occasional travel to Sacramento may also be required.
What You Will Do
- Calendar and scheduling. Manage the Executive Director’s calendar and scheduling, coordinating meetings across a busy and shifting set of internal and external commitments.
- Travel coordination. Arrange travel and logistics, including occasional trips to Sacramento and in-person convenings, and prepare simple itineraries.
Board meeting support. - Support board meeting logistics, including scheduling, assembling and distributing materials, and helping with follow-up and record-keeping.
- Task and workflow tracking. Track tasks and deadlines across the team, and set up and maintain a shared project management system (for example, Asana) so everyone can see what is on the critical path and what is coming due.
- Document and file management. Keep files, records, and correspondence well organized, and provide general administrative support to the Executive Director as needs arise.
Who You Are
- An experienced executive assistant who can operate with minimal direction, anticipate needs, and exercise sound judgment in a fast-changing startup environment.
- Highly organized and reliable, with strong attention to detail and a track record of keeping busy principals and teams on track.
- Discreet and trustworthy. You will regularly handle confidential and politically sensitive material, and you understand that much of our work is not for circulation.
- Comfortable with common tools, including Microsoft 365, Zoom, and project management software such as Asana. You pick up new systems quickly.
- A clear, professional communicator who can represent the organization well in the limited contact you have with outside parties.
- Based in or near the San Francisco Bay Area is preferred, so you can join occasional in-person meetings and collaborative work.
