Description
General Definition of Work
Performs intermediate skilled administrative support work preparing payroll and accounts payable data, processing department work orders, providing direct customer and stakeholder assistance, performing administrative support duties for the department and staff, and related work as apparent or assigned. Work is performed under the moderate supervision of the Electric and Water Distribution Superintendent and Water Treatment Plant Superintendent.

Essential Functions
Creates, prints, distributes and processes completed work orders; assists with meter reading system issues; coordinates hydrant maintenance and updates applicable records.
Prepares and verifies payroll and payable information prior to sending for processing.
Provides clerical support for staff and the department; creates and maintains various files, records, bids and reports; provides immediate basic technology support.
Provides direct customer service for customers or stakeholder groups; acts as a dispatcher during a power outage or water leak incident; maintains training records; coordinates travel arrangements to training or conferences.
Maintains inventories of chemicals and flood closure materials.
Provides assistance to other department staff.
All other duties as assigned.
Knowledge, Skills and Abilities
General knowledge of standard office practices, procedures, equipment and office assistance techniques; general knowledge of business English, spelling and arithmetic; general knowledge of city and department programs and polices; ability to read and understand basic city and state policies and procedures of limited scope and difficulty; ability to communicate complex ideas effectively, both orally and in writing; ability to analyze service problems and participate effectively in solving them; ability to operate standard office equipment and related hardware and software; ability to learn specialized software, systems or equipment related to business need; ability to generate applicable records, reports and files; ability to type accurately at a reasonable rate of speed; ability to establish and maintain effective working relationships with associates and the general public.
Physical Requirements
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
Special Requirements
Applicable position, department, organization and professional training will be provided and must be completed upon hire and on an ongoing basis.
Requirements
Qualifications: Associates/Technical degree with coursework in office administration, accounting, or related field and moderate experience working in a clerical support position, working with financial data, providing customer service, or equivalent combination of education and experience.
